Booth Space Reservation

To reserve booth space for the exhibition associated with the 19th ESCRS Winter Meeting which will take place from the Friday 20 – Sunday 22 February 2015, please click on the Book Booth Space button and create a new Exhibitor Account on the Istanbul Exhibitor Resource Centre (ERC). Valid credit card details are required to complete the registration process but the card will not be charged automatically as you also have the option of making the payment by bank transfer.

Once space is reserved you will have entered into a contract with ESCRS. Please note all cancellation policies carefully.

Shell schemes, furniture and fittings and other extras will be available to hire at additional cost, and must be ordered on-line via the Istanbul ERC. Bookings submitted without credit card details will not be accepted. Companies wishing to have adjacent or shared space must submit their requests on the official online exhibition reservation form.

Exhibition Rates:

Booth Space rental includes:

  2. 2. Company and Product Listing on the ESCRS website
  3. 3. Company listing in the final programme
  4. 4. Complimentary Exhibitor badge allocation
  5. 5. One Priority Point per €1000 spent on booth space rental

Applications for Exhibition Space

Applications for exhibition space must be completed online by creating an exhibitor account on the Istanbul Exhibitor Resource Centre. Applications will not be processed unless a valid credit card has been registered to the account (the card is not charged automatically as all payments may also be completed by bank transfer).

Full booth space payment is due by 14 November 2014. Please note that booth space may be re-allocated unless payment is received in full by this date.

Please also note that outstanding invoices from previous congresses must be settled in full before booth space reservations can be processed.

Payment Information:

The rental of booth space is €350 per square metre for space only. If required, shell schemes, furniture, fittings and other extras can be hired at additional cost, details of which will be sent on receipt of full booth space payment. Bookings without credit card details will not be accepted.

Cancellation / Refund Policy 

Notification of cancellation of exhibition space must be received in writing by the Organiser on or before 14 November 2014. If notification of a cancellation is received prior to 14 November, and booth space has been paid in full, a refund of 75% of the total cost of the booth space will be issued.

If notification of a cancellation of booth space is received after 14 November 2014 and the booth space has been paid in full then 50% of the payment will be refunded.

If notification of a cancellation of booth space is received after 14 November and no payment has been received then 50% of the cost of the booth space will be due for payment.

If payment is not received within 30 days of cancellation the outstanding amount will be charged to the credit card registered to the ERC account.

This cancellation policy also applies in the event of part cancellation or reduction of booth space.

Allocation of Space

Exhibition space will be assigned in December 2014 and confirmation of booth space locations will be emailed once the allocations have been completed. Please note that requests for placement near or away from other exhibiting companies may limit booth space positioning.
